A DBA does not get its own EIN. The EIN belongs to the legal entity that registered the trade name. A DBA (Doing Business As) is a name registration filed with a state or county. It creates no separate legal entity and no separate taxpayer, so the IRS issues it no number. A sole proprietor with a DBA may use an SSN or apply for an EIN. Which EIN Does a DBA Use?

A DBA uses the EIN of the entity that registered it. The IRS assigns EINs to taxpayers, and a DBA is not a taxpayer. Whichever entity signed the trade name registration reports the DBA's income and supplies its tax ID.

Only one row in that table produces a new application: a sole proprietor who hires an employee. Every other row either reuses a number the entity already holds or leaves the choice to the owner.

Does a Sole Proprietor With a DBA Need an EIN?

A sole proprietor with a DBA and no employees does not need an EIN. The IRS lets you report the DBA's income on Schedule C of your Form 1040 using your Social Security Number. An EIN becomes mandatory the moment you hire.

Not required and not worth having are different things. Four reasons sole proprietors apply anyway:

  1. SSN privacy — every client who pays you $600 or more asks for a Form W-9. Without an EIN you write your SSN on each one, and it lands in the records of every customer and their bookkeeper.
  2. Banking — most banks want an EIN before opening a business checking account in a trade name, even for sole proprietors.

LLCs and Corporations

Does an LLC or Corporation Need a New EIN for a DBA?

No. An LLC or corporation that registers a DBA keeps its existing EIN. Filing a trade name does not create a new entity, does not change the entity's tax classification, and does not trigger a new IRS number.

This holds no matter how many trade names you run. One LLC can operate five DBAs across five markets, and all five report through the same EIN on the same tax return. The IRS cares about the entity; the DBAs are labels the public sees.

Applying a second time is the mistake to avoid. A duplicate EIN for one entity produces two open taxpayer records, mismatched filings, and IRS notices that take written correspondence to resolve. How Do You Apply for an EIN When You Have a DBA?

Apply under the legal entity and list the DBA as the trade name. Form SS-4 has a separate line for each, and putting them in the wrong order is the most common rejection cause for trade-name applicants.

File the trade name with your state or county and keep the stamped certificate. Banks ask for it later, and the name on Form SS-4 Line 2 must match it exactly.

Can You Open a Bank Account in the DBA Name?

Yes. Banks open business accounts in the legal entity name with the DBA attached as a trade name, so checks written to either name clear. You need the DBA certificate and the entity's EIN confirmation.

Bring four documents to the appointment or upload them in the online application:

  • DBA registration certificate — the stamped copy from the state or county
  • EIN confirmation — the CP 575 letter, or a Letter 147C if the original is lost
  • Formation documents — Articles of Organization or Incorporation, for an LLC or corporation
  • Government photo ID — passport for non-residents

Can a Non-US Resident Get an EIN for a DBA?

Yes. A non-resident who owns a US LLC registers the DBA in the state where the LLC operates, and the LLC's existing EIN covers it. If the LLC has no EIN yet, the non-resident files Form SS-4 by fax to 855-215-1627.
