EIN for a Rental Property: Do Landlords Need One?
A landlord who holds a rental in their own name reports the income on Schedule E using their SSN and needs no EIN. You do need one once the property sits inside an LLC, once you hire anyone, or once you want the rental banking fully separate.

A landlord holding a rental property in their own name does not need an EIN. Rent, expenses, and depreciation report on Schedule E of the personal Form 1040 under the owner's Social Security Number. An EIN becomes necessary in three situations: the property is held inside an LLC or partnership, the landlord employs anyone directly, or the landlord wants the rental banking and paperwork fully separated from personal finances. The IRS charges $0 for the number.
Owning a rental is not, by itself, running a business in the way the IRS defines it for tax ID purposes. A single house rented to a long-term tenant is reported as investment income on Schedule E, and Schedule E asks for a Social Security Number. That is why so many landlords hold property for years without an EIN and never hit a problem. The question changes the moment an entity or an employee enters the picture. The Decision
When Does a Landlord Need an EIN?
Three triggers, and only three. Outside them, an EIN is a convenience rather than a requirement.

The middle rows are where most landlords land. Forming an LLC is the common step up from casual landlording, and the EIN follows it automatically because the bank asks for one.
One row is worth reading twice. A property management company is a vendor, not an employee — you pay it on an invoice and it handles its own payroll, so it triggers no EIN requirement for you. A resident caretaker you pay directly, set hours for, and direct is an employee, and that does. Why Get an EIN When You Do Not Have To?
For the same reason any sole operator does: to keep your Social Security Number out of other people's filing cabinets.
A landlord's SSN travels further than most people expect. A property management company asks for a Form W-9 before it can remit rent to you. A commercial tenant asks for one so it can issue a Form 1099. A lender, an insurer, and a title company each collect it during a refinance or a sale. Every one of those copies lives in someone else's records indefinitely.
An EIN substitutes cleanly on all of them. It costs nothing, takes minutes for a US applicant with an SSN, and it is the number you will need anyway if you later form an LLC or hire anyone.
The second argument is separation. A rental account fed by an EIN, with its own card and its own statements, makes the Schedule E far easier to prepare and far easier to defend if it is ever examined. Short-Term Rentals
Do Short-Term Rental Hosts Need an EIN?
The same rules apply, with one wrinkle: a short-term rental can be a business rather than an investment, and that moves it from Schedule E to Schedule C.
The dividing line is the level of service. Renting a property for months at a time, collecting rent and handling repairs, is passive rental activity reported on Schedule E. Renting nightly while providing hotel-like services — daily cleaning during a stay, meals, concierge arrangements — can make it a trade or business reported on Schedule C, which brings self-employment tax with it.

The EIN question does not change: personally held property with no employees needs no EIN on either schedule. What changes is the tax bill, and the difference is large enough that hosts running substantial-service operations should confirm the treatment with a US CPA rather than guessing.

Non-Residents
Do Non-Resident Landlords Need an EIN?
In practice, yes. A non-resident who owns US rental property almost always holds it through a US LLC, and that LLC needs an EIN — plus an annual filing that US owners do not face.
A foreign-owned single-member LLC must file Form 5472 with a pro forma Form 1120 every year. The penalty for missing it is $25,000 per form, per year, and it applies even in a year the property made no profit, because Form 5472 reports transactions between the LLC and its foreign owner rather than income. FIRPTA is the second issue. When a non-resident sells US real property, the buyer is generally required to withhold a percentage of the gross sale price and remit it to the IRS.
